Clerk to Trustees

All aspects of Charity Administration including meeting arrangements, drafting agendas and meeting papers with the Chair and Committee members, minute taking and circulation, acting on Trustee decisions post meeting and reporting outcomes.

Updating or creating the Procedures Manual, Register of Trustees, website including external links and listings maintenance. Attendance at meetings with other organisations/charities on behalf of the charity.

Daily operational tasks on behalf of Trustees to manage your Charity from communicating with prospective beneficiaries/funders through to updating the Annual Report and ensuring your charity is up following relevant governance and compliance requirements.

Grant Management

Processing grant applications, liaising with Caseworkers, Social Services, schools, suppliers, health professionals, councils and connected professionals.

Collating, filtering, examining, and reporting grant applications to the Trustees and acting on decisions made. 

Administering the Grant Register and maintaining a rigorous audit trail of agreements and payments.

Arranging payment, liaising with beneficiaries and suppliers.

Reviewing grants, checking financial status and need as determined by the Trustees.

Adhering to the UK GDPR requirements with secure record keeping and file retention policies.

Governance Advice

Advising the Board on legislation changes, governance, Trustee recruitment, induction, and procedures, managing skills gaps and conflict of interests/loyalties, liaising with legal and independent advisors where appropriate.

Facilitating charities conversion from a Trust to a CIO. 

Liaising with and passing on the Board’s instructions to Stockbrokers, Auditors, Solicitors, and the Charity Commission

Updating the Trustees on both legal and procedural changes from the Charity Commission, the ICO and other bodies.

In Addition

Preparation, review, and implementation of essential policies including UK GDPR, Register of Interests, Conflicts of Interest, Data protection Policy, and the Risk Register.

Financial administration and reports including the Annual Report, compiling the annual accounts, preparing the budget, making banking payments and filing returns with the Charity Commission

Administration of Payroll with monthly HMRC RTI returns.

Services are offered both Freelance through Grant West and as a PAYE Employee.

Caroline Grant is a Clerk to Trustees, Grant Manager and Governance Expert and has over 13 years’ experience as Clerk to the Trustees for both educational and armed forces grant giving charities.
Working from home in a fully functioning home office, travelling to meetings as required. Remote Working demands motivation and initiative, paramount to success is the ability to communicate with the Trustees and other external colleagues irrelevant of location.
Balancing the eligibility and public benefit requirements of the charity with the needs of the beneficiaries is a particular skill. It demands an ability to act with confidence, coupling beneficiary confidentiality with compassion and guidance to ensure that the process is as swift and efficient as possible whilst fulfilling the charity’s purposes.
Responding flexibly to the varying demands of different charities is customary and time is allocated to each charity as part of prioritising for the working day, week, and month ahead.
